RESPONSIBILITIES:

EXPERIENCE:

Responsible for the procurement of all food products, furniture, fixtures, equipment, supplies, capital equipment and other purchases in the Companies’ centralized procurement program. -Coordinates the procurement and distribution of food items with production operations

-Obtains the best value at the lowest price consistent with established quality standards and delivery schedules

-Maintains files of vendors’ stock lists, catalogs, price sheets and discounts

-Forecasts market conditions, availability of materials and economic conditions
<br>
-Keeps informed about current laws, rules and regulations affecting procurement

-Handles communications concerning over-shipments, shortages, price change and related matters
<br>
-Determines the cost of deliveries and the best method of transportation

-Develops specifications for products, materials and service in cooperation with personnel responsible for production and service

-Authorizes the rejection of materials that fail to meet specifications
<br>
-Maintains a file of current specifications
<br>
-Determines necessary stock (par) levels to provide adequate food and supplies and to minimize investments

-Inspects storage areas
<br>
-Monitors records of inventory, materials ordered and potential demand for food, beverage and supplies
<br>
-Monitors maintenance and repairs of storage facilities
<br>
-Selects suppliers
<br>
-Negotiates reasonable terms with suppliers
<br>
-Acts as the liaison between suppliers and company departments
<br>
-Evaluates suppliers’ products, services, dependability and costs
<br>
-Creates goodwill for the company through effective trade relations
<br>
-Solves problems with vendors; expedites deliveries as necessary
<br>
-Works with suppliers to identify new products, material and processes
<br>
-Oversee distribution of bids and receipt of quotations
<br>
-Investigates suppliers’ facilities
<br>
-Plans professional development and training opportunities for staff
<br>
-Manage purchase agents to assure that established purchasing procedures are consistently followed

-Trains purchasing agents to follow established purchasing procedures
<br>
-Monitors flow of materials through the club (from selection to production service)
<br>
-Participates in “make-or-buy” decisions with production and service staff

-Develops a budget for operation within the scope of responsibility; takes corrective actions as necessary to help assure that budget goals are attained

-Reviews financial statements to monitor expenditures in operational areas

5-8 years management experience required

Primary Responsibilities
<br>
<br>
I. Personnel
<br>
Interview, select, hire and train the on-site staff members. Mentor and train the staff on property management skills and concepts modeling effective leasing and customer service techniques to include maintenance expectations.

Motivate, direct and evaluate personnel and handle all employee related concerns while measuring against established community goals.
<br>
Organize and prepare monthly staff responsibilities while achieving set deadlines to be efficient and effective with property objectives.
<br>
Ensure that all staff members are professional in conduct and appearance daily.
<br>
<br>
II. Administrative
<br>
Ensure that budget guidelines are followed through consistently by reviewing concerns and issues and insuring all rent is coded accurately.
<br>
Approve all leases.
<br>
Maintain an overall Management Assessment score of 90%.
<br>
Keep abreast of industry relevant issues and topics to incorporate into planning and decision making. Evaluate financial performance and seasonal trends to identify and implement solutions for potential staffing, maintenance and marketing needs.
<br>
Improve resident retention by shopping comps, preparing market surveys to generate traffic, and overseeing resident functions.
<br>
Oversee and direct all administrative duties in accordance with company policy.
<br>
Other duties to include due diligence and acquisitions.
<br>

III. Maintenance
<br>
Obtain the best vendors for each product and maintain all vendor/contractor communications regarding scheduling, billings and other relations.
<br>
Physically walk and inspect community on a daily basis to address corrective landscaping, building, and amenities issues and verify status of vacant/make-ready units to see they meet our standards.
<br>
Route any service requests needed to the maintenance team and monitor resident satisfaction in person or through follow-up calls.
<br>
Routinely walk the community to make sure no life/safety issues are present.
<br>
